At the Chamber of Commerce and Industry of Paris, meetings schedules are on the Internet thanks to ADESOFTware

In order to be able to fulfill the organization of more than 450 meetings in a single day between research centers and the small and medium sized companies and industries from the Hauts-de-Seine region, the Paris Chamber of Commerce and Industry requested the services of ADESOFTware due to the great flexibility of the solution that it offers. ADE, software for the planning and optimization of human and material resources, now allows CCIP to maximize the planning of the participants' schedules and to diffuse them in real time through the Internet version.

The Paris Chamber of Commerce and Industry - Hauts de Seine counts among its activities a project for regional support and development for companies. In this context, CCIP has been organizing, since 1997, the planning of meeting days between research centers and the small and medium sized companies and industries in the Hauts de Seine region. These meeting days have to be planned with a consideration of a number of constraints : availability of different participants, determination of meeting venues, management of last minute changes...At the time of the launch of this new activity in 1997, the CCIP management team was in a position to perform planning manually due to the fact that there weren't many daily meetings to manage at this moment. However, since 1998, the number of these meetings has grown considerably. In 1999, the CCIP managment team was thus confronted with planning 450 meetings in 42 booths, between 75 companies and 40 research centers in one day. It therefore became vital for the CCIP to use a software to perform this work rapidly.

Mr Philippe Le Cam, Industry Development Service Manager, established contact with ADESOFTware and, after a product demonstration, decided to install the ADE software at the heart of the Chamber of Commerce. The selection of ADESOFTware resulted in "a good appreciation of the specific needs of CCIP." The ADE software allowed them to optimize the schedules of different participants during the day, by limiting the number of time slots left unused. This improved time management was an essential outcome according to Mr Le Cam : "during meeting days, the research centres would send the person with the relevent skills for the specific needs. We simply couldn't ask a research director from Toulouse (South of France) to come to Paris for a meeting between 9 and 10 a.m. and another between 5 and 6 p.m."

In the beginning, the software was installed on a single workstation, then being satisfied with this test of ADE software, the CCIP asked for the installation of the Intranet version of ADESOFTware. "In this way, we can put our schedules "on-line" for the small and medium sized industries and the research centers before the meetings, a process which allows different participants to directly consult their schedules for the day on the website and to intervene to make changes in real time if they desire." explains Mr Le Cam. In this way, the schedules are updated from one day to the next and the communication between the different participants within the CCIP is increased. " Previously, it might happen that a company receives its confirmation of registration a month beforehand and then withdraws from the process, thinking that they haven't been retained !" explains Mr Le Cam.Thanks to ADE, the time spent planning these meeting days has been considerably reduced and from now on it is easy for all the participants to find out about last minute changes to their schedules. Mr Le Cam declares that he could not "estimate the time gain in the planning of these days. The work that the ADE software does, would simply be impossible to do by hand."
Mr Le Cam sums up the benefits of the ADE software for his activity : "ADE is a software with a high flexibility of use, equipped with many shortcuts to enter as quickly as possible the data, very simple to master for a computer scientist and easily understandable for other people thanks to a highly reactive and efficient After-Sales Service."
